2007 UNC Dance Marathon
Committee Structure and Descriptions
As the mission statement reads:
The UNC-CH Dance Marathon unifies the University and surrounding community in order to improve the quality of life for the children and families of the N.C. Children’s Hospital by demonstrating support for their needs and raising funds to address those needs.
The Marathon structure includes the Overall Committee, Committee Sub-chairs, and Committee members. The Overall Committee consists of the Overall Coordinator and each of the ten Committee Chairs. Within each committee, there exists a chair, several sub-chairs and a varying number of committee members. Brief descriptions of the eleven committees, including the subchairs, are given below.
Alumni Development
Responsible for University and Alumni relations and the Advisory Council. This includes correspondence, mailing lists, and creating exciting ways for alumni to get involved with the Marathon. This year the committee will focus on building alumni support and creating an alumni pledge program.
Sub-committee:
Alumni Relations - creates new and interesting ways to increase alumni involvement in the Marathon while working with regional Carolina Alumni Clubs and the GAA. Will maintain the alumni database and alumni pledge program.
Campus Fundraising
The Campus Fundraising committee coordinates the fundraising efforts of UNC students through a variety of means, including athletes, the Greek system, RHA, other student organizations, and special student events. Included in this effort is assisting these groups in their fundraising efforts.
Sub-committees:
Student Organization Fundraising – includes all other student organizations as well as varsity and club athletic teams at UNC.
Greek Fundraising – includes all Greek organizations, both traditional and non-traditional, at UNC.
Fundraising Events – works closely with DM committees and student groups to host large collaborative events throughout the year such as the Benefit Concert and bar nights.
Community Events
The Community Events Committee solicits all donations and organizes the logistical details for a number of fundraising efforts for the Marathon. This committee also publicizes the auction to the community and works to build relationships with donors and bidders.
Sub-committees:
Auction Coordination – organizes all details of both the silent and online auction, including the procurement of items
Benefit Reception – responsible for the operation of the reception, an event held in January to celebrate, raise funds, thank those involved, and introduce new university and community members to the Marathon.
Corporate Affairs
The Corporate Affairs committee is the main avenue through which the Marathon solicits corporate donations and gift-in-kind donations for the Marathon, as well as establishing incentives. It will be responsible for contacting and working with both large and small companies interested in sponsoring the event through a cash donation, gift-in-kind, or underwriting an expense. This committee also works to include their resources in facilitating the planning and production of the Marathon.
Sub-committees:
Food Donations – solicits and manages all food donations made to all Marathon events
Event Donations – responsible for researching and acquiring all non-food related needs for the organization
Incentive Coordination – Will work with Corporate Affairs and Community Events to streamline and standardize incentives for all corporate donors and ensure that every sponsor receives proper recognition and thanks.
Corporate Relations – The “Official Salesmen” responsible for soliciting donations from and maintaining a good relationship with companies and corporations throughout the state and nation. Responsible for keeping all communication between the Marathon and its sponsors.
Dance Marathon Support Network
Headed by the DMSN subchair of the Operations Committee, DMSN members serve as Marathon ambassadors. Members are the spokespeople for the Marathon, helping to publicize and attend all Marathon events and put on publicity events and activities on campus. Members will also act as liaisons in the community through fundraising efforts such as canning at Football and Basketball games and Sam’s Club and will have involvement in activities taking place in the Children’s Hospital. Members help raise campus and community awareness and will get an unparalleled look at all that DM involves. Note: See Operations Committee for more information
Fundraising Projects
This committee is one of the main sources of fundraising revenue for the Marathon. The committee coordinates all canning efforts as well as OneCard pushes, donation boxes, and fundraising letters. Members are also responsible to work with the UNC Athletic Department and Sports Marketing offices on individual fundraising projects, such as the “Turn It Blue” wristbands.
Sub-committees:
Canning – oversees all scheduling, permission, and organization of supplies for our canning fundraising efforts as well as the collecting and counting of the canning money. Includes all work with donation boxes placed around the community.
One Cards – responsible for the distribution and collection of ONE Card fundraising sheets.
Letters – responsible for organizing the gathering of addresses, inputting them into the database and sending of fundraising letters.
Hospital
The Hospital committee concentrates on expanding and solidifying the relationship between the children of the hospital, the UNC Hospital, its families, and the Marathon. The hospital committee is involved in family recruitment, building relations with doctors and nurses, as well as creating ways for students to be involved at the hospital and with the children.
Sub-committees:
Hospital Events – responsible for organizing events that will create opportunities for interaction between students and the children. These events include both formal and informal monthly socials and time in the pediatric playroom.
Family Recruitment – increasing the number of families helped by the Marathon and linking those families to the event, committee members, and the dancers. In addition, this committee will correspond with these families, send them invitations to DM events, and maintain solid relationships with involved families throughout the year.
Morale
The Morale Committee is responsible for creating the performance line-up for the Marathon as well as overseeing all Dancer and Moraler participation. Also included in this committee is the continual maintenance of organizational morale throughout the year.
Sub-committees:
Performance- creates and secures the schedule for all bands, student organizations, etc. who perform at the Marathon.
Dancer - responsible for the recruitment, training, and continual involvement of Marathon Dancers.
Moraler/Spirit- actively selects and prepares Moralers for the Marathon. Responsible for DM internal morale activities including, but not limited to: committee morale, PIT activities and entertainment, and the personal Moraler system.
Operations
The Operations committee organizes all of the logistical details of the Marathon, social events, and meetings. This includes working with university officials to book rooms, reserve equipment, etc. Other responsibilities of this committee are recruitment and management of our volunteers, and ensuring effective communication between all parties. The committee is responsible for all the logistical details included in the actual 24-hour Marathon such as the stage, housekeeping, facilities, parking, security, etc.
The other component of the Operations committee is the Dance Marathon Support Network. Members are the spokespeople for the Marathon, helping to publicize and attend all Marathon events. Members will also act as liaisons in the community through fundraising efforts such as canning and will have involvement in activities taking place in the Children’s Hospital.
Outreach
The Outreach Committee serves as a liaison between the Marathon and the surrounding community. While attempting to increase involvement in all aspects of the event, especially publicity and volunteer participation, this committee contacts a variety of organizations and groups of people ranging from local PTA’s to Kiwanis clubs. The Outreach committee’s focus this year is on planning the first UNC Dance Marathon Homecoming Golf Classic.
Sub-committees:
Golf Tournament – Will organize all aspects of the Dance Marathon Golf Tournament tournament including participants, location, sponsorship, logistics, etc.
Community Projects – Works with local churches and civic organizations to organize fundraisers, book, clothing and toy drives, as well as other promotional events.
Endorsements - Responsible for securing endorsements from local, state, and national figures. This person will also create and maintain the Outreach Calendar, which will include publicity and fundraising opportunities in the community such as the Crabtree Mall charity ball, Apple Chill and Festifall.
Secondary Schools - Works with high schools throughout the state to maintain High School Representative program, put on fundraisers, and encourage mini-marathons.
Publicity
The Publicity Committee will publicize the Marathon through all forms of media, including radio, print, television, and all campus mediums. Also included in this committee is the Marathon newsletter and the Marathon website. The publicity committee will ensure that the Marathon presents a uniform and professional approach in all of its dealings.
Sub-committees:
Campus Publicity – all dealing with campus publicity including
DTH ads, fliers, signboards, chalking, creative and innovative techniques,
etc.
Media Relations – oversees all contact with the outside media,
including newspapers regarding human-interest stories, community calendars,
social events, press releases, etc.
Hospital Publicity – coordinates all Dance Marathon publicity within the North Carolina Children’s Hospital by working with other committees, hospital administrators, and local media.
Multi- Media – coordinates the production
and update process of all non-print materials used for Dance Marathon
during the year and in our records. Among other responsibilities, the
sub-chair coordinates photography at all DM events, the DM scrapbook
and albums, the continuing update of our promotional video, and monitors
the website to keep it current and aesthetically pleasing.
